POSITION JOB DESCRIPTION
Training Required:
Admin Referee Home Only The Referee may assign some of his or her duties to an Admin Referee. The Admin Referee is a fully trained Referee, but usually focuses on working with the Stroke and Turn judges to verify disqualifications (DQs). This allows the Referee to keep the meet moving along without having to constantly stop the meet for DQs.
Clerk of Course Clerk of Course is responsible for ensuring meets are run smoothly and fairly by seeding swimmers from both teams and overseeing that they swim in the proper event, heat, and lane. At all meets, the clerk oversees College Heights swimmers by adjudicating seeding, scratches, and reseeds with the opposing Clerk. At home meets, the Clerk (with helpers) will set up (1st half) and break down (2nd half) clerk of course station, conduct seeding to ensure fair placement (1st half), call swimmers by event and allocate to lanes/heats, direct swimmers to proper blocks, reseed on the fly based on no-shows/scratches, and run cards to timers. At away meets, the clerk assists the opposing clerk in these efforts but is always the responsible official for CH swimmers. First-half clerk is more intense than second half.
Head Timer Home Only Line up home team timers per appropriate lanes prior to the meet. On meet day just prior to the meet, lead a timers’ meeting with timers from both teams to review timers’ rules, distribute stopwatches (confirm that they are in working order)/clipboards/pencils to home team timers, discuss general logistics, and answer questions timers may have. Be prepared to work two timers simultaneously during the meet and to watch for any timers who need your attention. Work in tandem with the referee.
Referee Home Only The Referee is in charge of the meet once it begins and ensures that the meet runs smoothly, safely, and fairly in accordance with RSL rules. The Referee works with all the other trained officials to verify that their areas of responsibility are running smoothly. The Referee signals when the Starter is allowed to start each heat. When the Stroke and Turn judges disqualify a swimmer, the Referee verifies that the stroke was actually illegal. If any coaches or officials have questions regarding the rules, the Referee provides the official interpretation of the rules based on the training and guidance from the RSL. At the end of the meet, the Referee signs off on the results.
Scorekeeper / Data The Scorekeeper accepts the electronic entry files from both teams and imports them into the meet software. The entries from both teams are processed and verified for the proper number of entries per swimmer and per event. The Scorekeeper provides the meet program to the coaches and officials prior to the start of the meet. After each event, the time for each swimmer is entered into the meet software, and the names on relays are changed if needed, before printing out the results for that event. Periodically, the labels for the ribbons are printed and the results are searched for triple winners. During the meet, the Scorekeeper is responsible for supervising the Scoring Helpers. At the end of the meet, the Scorekeeper fills out the final meet results/triple winner report and exports the electronic results and backup files for each of the coaches and the opposing team’s Scorekeeper. The Scorekeeper emails the results, the meet backup, and the triple winner report to the RSL after each home meet for inclusion on the RSL website and the newspaper.
Starter Home Only The Starter issues the commands to the swimmers at the beginning of each heat to get positioned on the blocks and starts the race using the starter machine. If a swimmer starts early (false start), the starter recalls the swimmers. During relays, the starter may assist in identifying false starts at the deep end of the pool. An efficient starter can help the meet run quickly.
Stroke and Turn Stroke and Turn judges watch the swimmers in an assigned area of the pool to ensure they are swimming the strokes legally. If the stroke is not legal, the judge signals the Referee with a raised hand, explains the infraction to the satisfaction of the Referee, and documents it for the coach on a DQ slip, so the coach knows how to help the swimmer improve. Stroke and Turn judges are taught how to distinguish between an illegal stroke and a stroke that is ugly but otherwise perfectly legal. New S&T judges often shadow an experienced judge to get comfortable with the position.
No Training Required:
Announcer Home Only Makes announcements during the meet, as directed by the Meet Coordinator or other board member. Reads brief RSL script several times, required at every meet. Calls events to Clerk of the Course, as directed by Clerk or Clerk helpers. Fun, low-stress job.
Clerk Helper Clerk Helpers assist the College Heights Clerk of Course in keeping meets running smoothly. Job duties are assigned as needed by the clerk, but typically include recording seeding on event sheets, calling and organizing swimmers, directing swimmers to blocks, running cards to timers/scorekeepers, requesting names to be called by announcer, and helping with setup/breakdown. Home and away meets have similar responsibilities. First-half Clerk Helper is more intense than second half.


Event Writer/Relay Coordinator (Position for families where oldest swimmer is 8 or younger). Write events, with Sharpie, on arms of swimmers prior to meet. Coordinate 8 & Under relays, Events 5 and 6, by locating these young swimmers and making sure they are at the correct end of the pool, at the proper lane, and ready to swim their relay.
Heat Ribbons Home Only Observe each heat of each event for one-half of the meet. Hand heat winner ribbon to swimmer who wins each heat. You are on deck to see the swimming up close. Fun, active position.
Place Ribbons Takes the award labels and attaches them to the correct ribbon (1st-6th place). The labels are printed in batches, so there is plenty of time to watch the meet and then catch up on ribbons.
Runner Home Only Collects deck cards from clerk of course or swimmers and delivers them to timers, then collects them from timers after each heat and delivers them to the score table. This is a fast-paced and active job.
Safety Marshal Home Only Patrols the pool deck and surrounding areas during the meet to ensure proper and safe conduct.
Scoring Helpers This includes two areas: one person will assist in circling the middle time on all swimmers’ cards before giving them to the scorekeeper. The second person will proofread the scorekeeper’s printout for correct times and names before posting it on the pool deck for teams to see.
Timer Work for one-half of the meet with two other timers to gather swimmers’ times per heats within events. This job involves watching for the start time flash, stopping and restarting the timer, and either saying your time on your timer to the writer of the group, or being the writer of times. You most likely will get wet–as you are right at the edge of the pool. Fast-paced for the most part! Before meet begins, attend Ref/Head Timer meeting to get stop watch, hear instructions, get your lane assignment, and meet other two timers for your lane.
Water Delivery Home Only Periodically delivers water bottles to volunteers who are not able to leave their jobs, like timers, referee, stroke & turn judges. This is an easy job and much appreciated on those 100-degree evenings.
